What are renewals and what options do they allow?

For most billing settings, you can choose to automatically renew your products. When this option is enabled, customers who buy the product will be automatically renewed for future billing periods without any action needed. This means they only need to purchase once, and the system will handle all future renewals.

Your renewals will show up in the renewals report until a set number of days before they are due to become scheduled orders.

If you need to change the price or invoice date, you can adjust it from the Orders page. Otherwise, you don't need to do anything, and the renewals will process automatically.

How to enable automatic renewals:

  • Navigate to Product management > Products
  • Select a product or product group from the left sidebar
  • Within ‘Billing’/’Billing and renewal’ select ‘Enable automatic renewal’
  • Review the renewal settings:
    • ‘Renew participants between schedules’ – select this option if you would like monthly renewals to continue after a gap of more than a month
    • Select whether renewal generation should be subject to the product’s age restrictions
      • If you enable this option, you can also choose if there’s another product they should renew onto instead, for example the next age group up
    • Choose how many days before the invoice is raised the scheduled order should be generated
      • The default is 27, we recommend keeping it at this for monthly classes or subscriptions
    • Choose whether any email should be sent in advance of, or on, the renewal date
      • If you enable these options, you can select email templates to be sent before and when a contact is renewed
  • Click ‘Save’

Renewing class schedules

If you are running automatic renewals for a scheduled class or event, your contacts will automatically be reserved, then charged for the next schedule in line with the billing period.

If you are billing weekly or monthly, the auto-renewal will keep your contacts on the schedule for as long as the schedule runs.
